Scope and responsibility

This information supplements the website privacy notice for iBOTS activities. That notice identifies Dr. Nicholas A. Del Grosso as controller for project-managed processing and separately lists university affiliation and service contacts. Questions about project records go to delgrosso.nick@uni-bonn.de. For a linked service’s own processing, consult its privacy information.

The Scientific Python registration information below reflects the public form as viewed on 12 October 2026. The relevant event page and linked service identify the registration route for your offering.

Registration and waiting lists

Use the registration service linked from the relevant event page. Current Scientific Python offerings link to a shared form on University of Bonn sciebo (Nextcloud Forms). Other event records link to university Zoom/Zoom X services and, for some older events, other Zoom accounts. Hosting and controller arrangements differ between services; follow the information for the service linked from your event.

The inspected Scientific Python form marks these fields as required: selected courses, full name for the certificate, email, regional location category, institution, and career status. It describes using regional location and institutional email for allocation/prioritisation, with weekly decisions and a waiting list. Without the required information, the form does not accept a complete application.

Optional fields include working group/department, research field, experience with tools, relevant data types, previous attendance, reasons for applying, referral source, and gender identity. There are separate unchecked choices concerning background research and future course announcements. These descriptions concern the form’s visible fields and choices.

The form description and interface show different course-selection limits. Contact the organiser if this affects the courses you wish to select.

The purposes are organising the event, allocating places, and sending participation information. The applicable legal basis depends on the actual activity and responsible party; Article 6(1)(b) GDPR applies only where a genuine contractual arrangement exists. University affiliation alone does not establish a public-task basis for project processing. The precise activity-specific basis and deletion criteria are not specified on this page.

Consult the university’s Zoom X information for the institutional service. Archived registration links describe earlier events and may use a different service.

For sciebo, see the university’s service information. The service’s general documentation describes the platform; this page does not specify the form’s account-level access, exports or retention settings.

Optional background research

The inspected form describes studying applicants’ backgrounds and previous experience to improve scientific-programming education, with grouped findings potentially used in publications and reports. It describes participant codes with identifying information kept separately and a consent withdrawal route at delgrosso.nick@uni-bonn.de.

Data remain pseudonymised while a link between codes and individuals is possible. Irreversible anonymisation means that an individual’s responses can no longer be identified for removal. Career status is a required registration field, while the research section describes survey participation as voluntary; contact the team if you need clarification about required answers and their uses. This page does not specify the research team’s access, retention period or activity-specific basis, and does not independently verify the identifier-separation process described in the form. Optional research consent does not authorise unrelated uses of application data.

Sessions, attendance, and certificates

Participants in online sessions may make their display name, voice, video, chat messages, or shared screen visible to other participants and the host according to the features they use. Follow the event’s joining instructions; avoid sharing personal research data or confidential screen content.

Event pages specify whether certificates are available and what attendance is required. The inspected registration form also mentions assignment completion, whereas the current Scientific Python event pages specify attendance. Contact the organiser about the requirements that apply to your event. Generating and emailing a participation certificate requires relevant participant and attendance information. This page does not specify a universal retention period, a central certificate-verification register or detailed staff-access arrangements.

Support enquiries and feedback

For email and learning-support enquiries, see contact privacy information. Use anonymised or synthetic examples when discussing code or research workflows. Do not submit identifiable patient or research-participant information without an appropriate separate arrangement.

When feedback is offered as optional, you can decline it. Its collection information should explain whether responses are anonymous or identifiable, the purpose, provider and deletion rules. This page grants no permission for additional research use or funding reporting involving personal data.

Newsletter

The website links to the University of Bonn mailing-list subscription page for ibehave.ibots-news. Visiting this website does not subscribe you. The inspected Scientific Python form also offers an optional future-course-announcements checkbox; this page does not establish whether that choice uses the same list or a separate delivery service.

Subscription is voluntary. The mailing-list service handles the information you submit for subscription and delivery; the relevant service information and any confirmation step appear there. The intended basis for optional newsletter delivery is consent under Article 6(1)(a) GDPR. You may withdraw for the future using the service’s unsubscribe function or by contacting the team.

This page does not specify double-opt-in, subscriber-address visibility, list-owner access, archives, retention after withdrawal or any separate consent-evidence retention. No automatic deletion timetable is promised. Contact the team with subscription or withdrawal questions.

Photography and recordings

This notice grants no permission to photograph, record, or publish participants. Neither registration nor silence is treated as consent. Any proposed photography or recording needs advance, specific information about purpose, access, publication, storage, legal basis, and an appropriate choice where consent is relied upon. Necessary participation must not be conditional on optional publicity consent.

The event information does not describe a routine recording practice. Any recording arrangements and their privacy information should be communicated for the particular activity.

Recipients, retention, transfers, and rights

Only authorised staff and providers needed for the activity should receive the relevant data. An iBehave network affiliation does not establish permission to share participant lists across partner institutions.

The registration or activity-specific information is relevant to the service you use. This page does not specify detailed provider roles, retention periods, deletion criteria or transfer safeguards for every offering.

The website privacy notice explains conditional rights and complaint contacts. The website code does not make admission decisions. The registration form describes weekly decisions; the associated decision-making process is not detailed on this page.
